You are able to use self managed, plan managed and NDIA managed funds at our service.

Orthotics and your Childs Plan
Most commonly Orthotics come out of the Capital Supports – Assistive Technology and capacity building sections of your plan. Some items may fall under core supports. Our team can help you with navigating this information.
Orthokids can assist you with getting funds included on your plan.
New patients
If your child requires Orthotics, or you think they might. Please book an assessment and we can help with providing reports and quotes for your NDIS planning meeting.
Orthokids will charge the standard NDIS prescribed rate ($193) for your initial appointment. This will be payable on the day of your appointment.
Existing Patients
For existing patients who we see on a regular basis, let us know about upcoming planning meetings and we can provide a report and quote for you to take along. Our orthotists will need to sight your child's goals to complete this report.
No funding for Orthotics on your plan?
No worries, still book an appointment with us. After an assessment, we can provide you with a report and quote to submit to the NDIS to get a plan adjustment so Orthotics can be added to your plan.

Feedback and complaints
You have the right to make complaints about our services and supports at any time. To make a complaint, please complete and return this form to our Complaints Officer. Our Complaints Officer will handle your complaint fairly following the steps outlined in our NDIS Provider Complaints Management and Resolution System Policy.

SWEP
The State-wide Equipment Program (SWEP) is a State Government funded organisation which oversees a number of different ‘assistive technology’ programs.
Orthokids services and equipment fall under the Aids & Equipment Program (A&EP) division of SWEP’s services.
Who is eligible for SWEP funding?
To be eligible for SWEP funding towards your Orthosis / Brace you must:
- Have a diagnosis of a permanent/long term disability
- Be a Victorian Resident
- Not be eligible for the NDIS
Some of the conditions eligible for funding:
- Scoliosis
- Clubfoot
- Cerebral Palsy
- Autism
- Many more conditions are also covered
How do I apply for SWEP funding?
If your child is registered with SWEP, make an appointment for an assessment with one of our Orthotists.
We will complete all of the paperwork required and submit it to SWEP.
If your child is not yet registered for SWEP
You will need to:
- Complete the 4 page form that can be found at https://swep.bhs.org.au/other-relevant-documents.php
- Pages 1 to 3 must be completed by you
- Page 4 will need to be completed by a health professional. Your doctor can do this(GP, Paediatrician, Surgeon) or you can bring it along to your appointment at Orthokids and they can complete it for you.
- It is important to confirm your child's disability, and certify that it is permanent, or long term.
- When this form is completed, bring it along to an appointment with us.
Along with the registration, your child will need a need a full assessment with one of our Orthotists so that the application for Orthotics can also be submitted. Please contact us to book an appointment.
Please be advised there will be a cost involved, payable on the day for your initial appointment.
What happens once paperwork is submitted?
Once SWEP has processed your application, they will send you a letter advising you of the outcome.
This can include any of the following:
1. Your application has been approved and a purchase order has been issued.
In this situation, please contact us for an appointment.
2. Your application has been approved and you are on the waitlist.
In this case, you will need to wait for a purchase order. It is very difficult to put a timeframe on this process.
Please contact us if your child urgently requires new orthoses and he/she is on the waitlist.
3. Your application has been assessed as requiring gap funding.
In this case please complete the Confirmation of Gap Form and send it back to SWEP as soon as possible. Your application will not proceed until this has been returned.
Once SWEP has received this they will advise you on the status of your application (see above).
4. Your application has been declined.
In this situation please contact SWEP for further details.
Important Points to Remember:
- Your application must be approved before your brace/orthosis is fitted.
- SWEP Funding is not retrospective. ie SWEP will not reimburse patients for any orthoses already fitted and paid for.
- Any gap payment must be paid to Orthokids at time of fitting. Do not send payments to SWEP.
- A new application (prescription form completed by Orthokids) must be submitted every time new orthoses are required.
- SWEP has annual and individual item limits for funding of orthoses.
- Please ensure SWEP are advised of any changes to your contact details.
TAC
Orthokids will require you TAC Claim Number and Date of accident so that any required TAC paperwork can be completed.
We can submit a request to the TAC for any Orthosis that are required.
Once approved we will be able to book a fitting appointment.
Private Health Insurance
You will need ‘extras’ cover to claim the cost of your orthoses.
Reimbursement rates vary greatly between health insurance companies and we recommend you check with your insurer directly.
We will endeavour to provide you with adequate documentation to ensure you can claim the maximum amount.
Please note we do not have a hicaps system so are unable to complete claims on the spot.

Referrals
For most conditions, it is not critical for you to have a referral from your doctor or therapist, we are happy to see you.
On some occasions we will require a specific referral for you to be seen.
